Approving Mailing List Messages

The two main mailing lists, bris-ubuc and bris-ubuc-training, are moderated to control who can send email to the whole club. Not only does this prevent spam and unauthorised messages getting through to everyone's inbox, it is a requirement of the University's Information Service that mailing lists of our size are moderated.

Whilst this is generally a good idea, it does complicate the procedure for sending out messages from unapproved email addresses. When an email is sent to either of these mailing lists the University server checks if it has come from an approved address (those on the bris-ubuc-senders mailing list; the committee). If it has it will be sent on, but if it hasn't it will bounce to bris-ubuc-moderators (those on the committee who moderate the list).

Information Services provide instructions for forwarding messages on at this stage, but their instructions don't always work. The following procedure has proved reliable, providing that you are using Squirrel Mail (the University webmail).

1) An email like the one below will be sent to everyone on the bris-ubuc-moderators list:

Hello my lovely scuba people!
As we all know it is SCORE tonight at OCEANA the doors open there at 10pm.

OUR PLAN is to meet at WEATHERSPOONS at about 9pm for pre-drinks and
possibly a last chance to buy advanced tickets, we will then head on down
park street then depending on feeling of the group maybe a swift one in
the WHITE HEART before heading to OCEANA! Now i want you all to remember
that tonight the theam is UNDERWATER... it is made for a club like us...
therefor i want to see fish, mermaids and divers where ever I turn in
spoons.

3) Now make the changes in green below. Insert the phrase 'Approved: Password' on the first line (where password is the approve_passwd variable in the configuration file, not the admin_passwd, which would also work, but if you mess up and email everyone the moderators' password it's embarrassing, but emailing everyone the administrator's password would be A Bad Thing). Move the 'Subject: ...' line below the 'To: bris-ubuc@bristol.ac.uk' line. Make sure there are no blank lines in the (now modified) message header and a single blank line between the header and the beginning og the message.

4) The message is now ready. Forward it to bris-ubuc@bristol.ac.uk (or bris-ubuc-training as appropriate). Don't change the subject which should look like:

5) Cross your fingers and click send!
